Service / Back-office systems
One panel you own, instead of separate systems you pay for per user.
Leave, asset assignments, meeting rooms, announcements, IT tickets. Rather than renting a separate system for each, we bring them together in one panel. Because the panel is built for you, you can connect whatever you need and never see a feature you do not. Adding a new employee does not grow your software bill.
Signs you need this
Does any of this sound familiar?
The need for a portal usually comes not from one missing feature, but from having to look somewhere different for every process.
- Leave requests travel through WhatsApp, email and paper, and nobody can see who is off work on a single screen.
- A separate system was bought for each process, and every one of them is billed per user.
- You tried an off-the-shelf product and it did not fit: full of modules you never use, missing the part you need.
- The answer to who has which phone, laptop or company car lives in a spreadsheet.
- People still have to ask around to find out whether a meeting room is free.
- Your software costs rise on their own as headcount grows.
Real example
The portal of a packaging manufacturer with more than 300 employees
KRCPACK used a separate system for leave tracking and had nothing at all for meeting rooms. Their leave system had no calendar, so there was no single view of who was off and when. The quotes they received for a broader internal panel came with a per-user annual licence: as the company grew, the software bill would grow with it.
We built the portal from scratch, around the way they actually work. Today it runs manager-approved leave tracking, HR and vehicle asset assignments, news and announcements, the weekly lunch menu, birthday and anniversary greetings, meeting-room management, IT ticketing and reporting.
Meeting-room calendars are read live from Microsoft 365, and meetings created in the portal are pushed to Teams. News, announcements and the lunch menu are visible without signing in. Sign-in can be connected to Microsoft accounts, or the portal can keep its own independent accounts.
Business outcome
The company now has a single panel it can grow as it likes, with no per-user licence. The portal has been in use since June 2026 and keeps growing; today the whole monthly hour package goes into new modules and improvements.
Approach
Start with a small core, then grow it as people use it.
Trying to digitise the whole company at once is the most expensive route. We first launch a core that everyone opens every day, then follow the real requests that come out of using it.
-
01
We decide together what belongs in the portal
Accounting, payroll, e-invoicing and email stay in off-the-shelf systems. The portal does not replace them; it sits above them, takes on the work that is specific to your company and connects to them when needed.
-
02
We launch the core and put it to use immediately
Users and permissions, news, announcements, special days, the lunch menu. With a tight scope this core goes live in roughly ten hours, and the whole company starts using the portal in the first week.
-
03
We shape permissions around how you work
You decide who sees what. At KRCPACK everyone sees approved leave on the calendar, each person sees only their own assigned assets, and HR and IT see more according to their role. Who accessed what is also recorded.
-
04
We connect it to the systems you already have
Microsoft 365, ERP, accounting, email and SMS services. Because the panel is yours, adding a connection is a matter of planning the work, not of waiting for a vendor to support it.
-
05
We grow it as it gets used
Requests do not slow down after launch, they increase, because people work out what they want by using the thing. That is exactly what the monthly hour package is for.
Doing the maths
Off-the-shelf system or a portal built for you?
The answer is not always “let us build it”. For standard, regulation-bound work an off-the-shelf system is both cheaper and safer. The dividing line is how specific the work is to your company, and what makes the bill grow.

Monthly licence cost of a new user in the portal
Work it out like this: number of users × annual per-user licence × number of systems you use, totalled over three years. Set that against the portal’s setup hours, monthly development hours and server cost. As headcount grows the first figure grows on its own; the second does not.
Deliverables
What do you have at the end of this work?
You set the scope; these are the outcomes companies ask for most often.
- A single panel the whole company opens every day, at one address.
- Leave, asset assignments, meeting rooms, announcements and ticketing gathered in one place.
- A role structure built around how you work, and a record of who accessed what.
- Connections to Microsoft 365, ERP or your accounting system.
- Data that stays on your own server, and source code handed over to you.
- Development that continues as usage grows; the portal does not stay frozen.
How does this service run?
The first call is free. We talk through which processes belong in the portal, and I also tell you what is better left in an off-the-shelf system.
Once we start, analysis, development, testing and release all come out of the monthly hour package you choose. You do not wait for a separate quote for each new module.
The contract runs for twelve months. A portal is never finished in one go: using it produces new needs and new modules. That is what monthly capacity is for.
Companies this fits
- — Companies whose processes are specific enough that off-the-shelf products never quite fit
- — Companies whose licence costs grow with every new user
- — Companies that want their data to stay on their own server
Work this does not fit
- — Standard, regulation-bound work such as accounting, payroll or e-invoicing
- — A panel expected to be built once and never developed again
Frequently asked
Questions asked before building a portal
Why custom software instead of an off-the-shelf system?
Not always. For standard work such as accounting, payroll and e-invoicing, off-the-shelf is the better answer. Custom software pays off where the way you work is specific to you and the ready-made product is either missing something or full of things you do not need. It also does not bill you by headcount.
Where is the data stored?
With you. If you have a server in the company, the portal runs there; if not, a server is bought in your name. In both cases setup, updates and maintenance stay with me.
Who is responsible for personal data?
The company that processes employee data for its own purposes is the data controller under GDPR and Turkish data protection law, and that responsibility cannot be handed to an outside party. I am a data processor acting on your instructions, defined by the confidentiality and data processing clauses in the contract. What I can do is technical and concrete: role-based permissions, access logging, and not collecting data you do not need.
Can staff sign in from outside the company?
However you want it. The portal can be open on the internet, restricted to your company network, or open sections such as news and the lunch menu can stay public while the rest requires a sign-in.
Can we sign in with our Microsoft 365 accounts?
Yes, single sign-on can be set up. The portal can also run with its own independent accounts; it is a matter of preference. At KRCPACK the meeting-room calendar is read live from Microsoft 365 as well.
What if we want to continue with someone else tomorrow?
The source code, the database and the technical documentation are yours from day one. The server is in your name too, so there is nothing left to move. This is a clause in the contract, not a promise.
What size of company is this for?
Since the price does not depend on user count, the work sets the threshold rather than headcount. The difference is felt most in companies whose licence costs rise with every new employee.
